About the role.

We have three exciting opportunities to join our Creative Operations team as a Creative Ops Co-Ordinator.
Two roles will be based at our Speke studio, and one at our Aintree studio.

In this role, you’ll play a key part in keeping our sample operations running smoothly - from intake and organisation to dispatch and return - ensuring everything is processed accurately and on time to support our creative and commercial goals.

As a detail-driven coordinator with a passion for operational excellence, you’ll manage sample workflows, maintain system accuracy, and collaborate with stakeholders across the business to deliver best-in-class sample management.

Key Responsibilities:

  • Sample processing & logistics

Coordinate the picking, dispatching, and returning of samples for all creative activity, ensuring full traceability via our sample management systems. You’ll receive and process new samples, resolve issues with buying teams, and prioritise workload to meet deadlines.

  • System & data management
    Maintain accurate records of all sample movements across systems, including WMS and photo trackers. You’ll catalogue samples, manage tags, and ensure data integrity for smooth operations.
  • Delivery & return management
    Prioritise pick jobs for internal and external shoots, monitor returns against SLAs, and escalate any delays or discrepancies. You’ll also process VM nominations and ensure timely dispatch for events and campaigns.
  • Stakeholder communication & problem solving
    Act as the point of contact for sample-related queries, liaising with Buying, Planning, and Studio teams to resolve issues quickly and keep workflows on track.
  • Operational support
    Support the wider Hello Studio team with process improvements, system updates, and occasional on-set assistance. You’ll also uphold health and safety standards and contribute to a positive, collaborative team culture.

  • System savvy: Comfortable using warehouse and sample management systems, with a keen eye for data integrity.
  • Problem solver: Analytical and proactive in resolving issues and keeping workflows on track.

  • Studio aware: Understanding of how sample operations support creative output.
